Presentation
Rescheduling lets you shift all or part of a CAPEX plan from one period to the next when works are delayed, taking into account what is already committed or actual.
It can be done line by line or in bulk.
A simulation shows the impact before applying.
Each shift is automatically logged in the CAPEX comments.
This feature must be activated.
The Planning table
The rescheduling features can be accessed:
From the building:
From the Consolidated view,
From the (current) works table, the rescheduling button on a CAPEX line directly opens its rescheduling window.
The view of the rescheduling table can be set up (image 3)
Level: Yearly or Quarterly.
Period: up to 4 years, to be ticked (first year: the one of the lastActualDate, last period of actuals displayed in the CF).
Reading: for each period, 4 amounts are displayed:
the plan (black);
the approved amount (blue);
the committed amount (purple);
the actuals (green).
The table also shows the Project (clickable name leading to the CAPEX record; in the Consolidated view, the building name is clickable too), the Category, the Status and the comments bubble. A totals line is displayed at the bottom of the table; columns can be sorted and filtered, 10 lines per page.
Shift methods
The method to apply must be selected in the Action drop-down list.
Manual plan edit: direct entry of the plan amounts per period.
This is the only method that can change the total plan amount.
Shift the whole CAPEX to the following period: the whole plan of the source period is shifted to the following period.
Shift plan − committed: the part of the plan not yet committed (taking the ticked commitments into account) is shifted to the following period.
Shift invoices to be received (committed − actuals): the committed amount not yet invoiced (taking the ticked commitments into account) is shifted to the following period.
Shift plan − actuals: the part of the plan not yet invoiced is shifted to the following period.
Shift all amounts by +1 year: each CAPEX amount moves by one year, period by period, including to a year outside the displayed period (the result is then not visible in the table).
Shift an amount X: the amount entered is shifted to the following period.
X cannot exceed the plan of the source period.
Keep X, shift the rest: the period plan minus X is shifted to the following period.
X cannot exceed the period plan.
Reschedule a CAPEX
To reschedule a CAPEX:
1. In the Planning tab, click the ⇄ icon under the CAPEX name (or from the usual building tab or from the Consolidated view).
2. Choose the Level and the source period. The target is always the following period (the following year in yearly level, the following quarter in quarterly level).
3. Choose the method in Action, and enter the amount X if the method requires it.
4. Check the commitment details: one line per commitment with its committed amount and, where applicable, its related actuals.
Actuals not linked to a commitment are displayed on a separate line (in the table and in the rescheduling window).
5. Read the impact block: before → after per period.
Orange message: amount shifted.
Red message: shift impossible, the Apply button is disabled.
6. Click Apply: the shift is saved immediately.
Bulk rescheduling
Bulk rescheduling works the same way:
1. In the Planning tab, tick the lines of the CAPEX to reschedule (or from the usual building tab or from the Consolidated view).
2. Click Bulk rescheduling (the button is greyed out as long as no line is ticked).
3. Choose the level, the source period and the method.
In bulk, the methods offered are:
Shift the whole CAPEX to the following period: the simulation block is displayed before applying;
Shift plan − committed;
Shift invoices to be received (committed − actuals);
Shift plan − actuals;
Shift all amounts by +1 year: applied without simulation.
4. Click Apply.
Checks and impossible shifts
A shift that would make the plan negative is impossible: a red message is displayed and the Apply button is disabled.
Yearly level: the check applies to the plan of the year. A committed amount or a remaining amount to be invoiced greater than the plan of a quarter but covered by the plan of the year does not block: the amounts are spread again.
Quarterly level: the check is done per quarter ("Shift impossible — the operation would make the plan negative"). Committed amounts and actuals are linked to their quarter: the plan breakdown must be consistent with them.
Committed amount greater than the total plan: shift impossible in both levels --> Change the plan amount first.
Example: plan of €300,000 over 2026 (€75,000 per quarter), €250,000 committed, ordered in Q1, €50,000 actuals.
In yearly level, Shift invoices to be received moves €200,000: 2026 goes from €300,000 to €100,000, 2027 from €0 to €200,000.
In yearly level, Shift plan − committed moves €50,000: 2026 goes from €300,000 to €250,000.
In quarterly level, from Q1 to Q2: shift impossible, Q1 would become 75,000 − 200,000 = −€125,000.
Rescheduling and Statuses
Plan, Submitted, Approved and Declined: can be rescheduled.
Dropped and Completed: no rescheduling possible.
Locked CAPEX: no rescheduling possible.
To best fit your different processes, lock features are available. For example, blocking the editing of amounts as soon as a CAPEX is approved. Do not hesitate to contact your usual contact person to activate these features.
Shift history
Each applied shift writes a comment on the CAPEX line, visible through the comments bubble at the end of the line, from the building as well as from the Consolidated view:
Author, date and time
Method, source period and target period
Amount shifted
Period / Before / After table for each modified period.
